Many companies deal with the challenge to localize content. They want to be efficient and flexible at the same time. Not reinvent the wheel, but allow for the ability to adjust to local market needs.

We propose a workflow of 5 steps for localizing your content

1. Create the Artwork and the Shaman template

One marketing team might be leading in the development of a new campaign or presentation. This team will explore the options to structure and group content in an efficient way. Combined with great design and messaging, this will result in a final (approved) document(s) that can be uploaded in Shaman. Structure and links will be added.

2. Add the editable files (master files, source files) in Shaman

To allow local teams to adjust the content, you need to add the editable files in Shaman. We offer 2 options:

  • The 'agency' route: Add the master files to the approved PDF, like an InDesign, Photoshop or illustrator file. In that case, do not forget to add fonts and external images.

  • The 'DIY'/ 'MSL' route: Use PowerPoint as the editable file. You can create high quality templates in PowerPoint, to make it easy for other users to localize themselves. In this case, we also recommend to upload fonts (although the fonts will be installed on Shaman as well)

Usually, video and PDF document files like literature will not be translated. Duplication will be enough.

3. Duplicate the presentation to another work area

Users from other work areas now have visibility to your new presentation and they can duplicate it into their work area. This duplication will include the added source and master files.

4. Localize the content using the editable file

The user can download the editable file (either the InDesign, Photoshop or PowerPoint file) and start the localization process. You can adjust to the local market environment and dynamics, to local compliancy and translate the content. For InDesign and for PowerPoint there are online services to automatically translate these files using AI powered translation. The final result of this will pass the local MLR process before it can be uploaded in Shaman again.

5. Shaman Smart update

The user opens the same, duplicated presentation again and uploads the new content file using Smart update. Shaman will now update all slides, leaving structure and links intact. New slides can be added as well, existing slides can be deleted if necessary. After that, you are ready to sync or publish.
