Learn how you can organize your email content using tags

As we see increasing amounts of email content pass through the Shaman virtual doors, we have created “Tags” which help you to manage and organize your email content.

You can create a tag that is specific to a project, team, or even team member, and then add this tag to each piece of email content (both email templates and fragments) to easily manage all email content related to that tag.

Good to know!

Tags are created, managed, and visible only within Shaman, they will not show in Veeva Vault or Veeva CRM.


How to create a tag

Tags in the email editor are created through the email overview page, so first make sure that you have clicked the email icon from the main menu in the principal CLM builder when you first log in.

Then, select any one of the small square boxes to the left of the email templates or fragments (depending on which email content tab you are on). You will see that a green box appears at the top of the list of email content with the options: “Add tags” (free text field), “Manage tags”, “Remove tags” or “Add tags” (but this time as a button).

To create a new tag, click “Manage tags”, then click the green “New” button in the top right corner.

You will now see that a new tag has been added to your list of tags in the email editor. To add a name to your tag, simply begin typing where you see the text “new tag”. You can also update the color of your tag, by selecting from the options available in the dropdown list.

Once you are happy with the details you have added to your tag, click "save" using the button next to the newly created tag. Then click "back to overview" to return to the email overview page, and keep reading to find out how to assign your recently created tag to your email content!

From the overview page of a specific email template or fragment:

Click the small arrow in the field "Library tags". Select the email tag(s) you wish to add to the email content, and that´s it!


How to add a tag to your email content

There are two ways that you can add tags to your email content, from the overview of email templates or fragments page, or from the overview page of a specific email template or fragment.

From the overview of email templates or fragments page:

Select the email templates or fragments that you wish to add tags to (by clicking the small square boxes to the left of the email templates and fragments).

At the top of the list of email content, type the name of the tag you wish to assign into the free text field “Add tags”. A dropdown list will then appear with a list of all the available tags in your account. Simply click to select the tag(s) you wish to add. When you have finished selecting tags, click the “Add” button on the right-hand side of the screen.

You will then see that the email content you selected has now been assigned the tag you selected.


How to remove a tag from your email content

To remove a tag from a piece of email content, simply click the “x” delete icon and the tag will be removed.

To remove a tag completely from your account, first, make sure it is not being used (as you will not have the option to delete it if it is).

Select any one of the small square boxes to the left of the email templates or fragments (depending on which email content tab you are on). You will see that a green box appears at the top of the list of email content with the options: “Add tags” (free text field), “Manage tags”, “Remove tags” or “Add tags” (but this time as a button). Click “Manage tags”.

Search for the tag you wish to delete (using the search filter box). Then once you have found it, click “Delete” on the right-hand side. You will have one last chance to change your mind after clicking “Delete”, but if you wish to completely remove the tag from your account click “OK”.

And that´s it! The tag will be gone from your account.
