A closer look at how Shaman Hub works, and how to make it work for you

Common scenarios in Shaman Hub

Scenario 1: I want to share content to the hub

  • Once you are ready to export your content to Veeva Vault, you just need to select the "Export" tab into your email template, email fragment or template fragment.

  • Ask yourself if this content can be useful to inspire or being re-used by other markets. In that case, ensure the toggle “Share content with Shaman Hub” is enabled.

  • Ensure the toggle “Share content with Shaman Demo Hub” is enabled

  • Sync the content to Veeva Vault by clicking “Export to Vault”.

  • That´s it! You´ve successfully shared your content.


Scenario 2: I want to duplicate global content into my local account

  • From the Email builder overview, click the “Shaman Hub” tab.

  • After arriving at your hub page, search for Global content by selecting Source - Global. You can also check additional filter boxes such as brand, original language, type and country.

  • Once you have found the content you are looking for, click anywhere in the email summary details of the content to select it.

  • From the preview and duplicate page, complete the local details of the email template and click “Duplicate”.

  • When localizing content, please make sure:

    • You use the local footer, with the relevant disclaimers and details.

    • All URLs are working and are relevant on local level.

    • You submit the content for local approval.

  • That´s it! You have now duplicated the email content to your local account. You can complete the email details, work on the design or test and export the content from Shaman.

    Good to know: At the moment, Shaman translation covers text in email, not text in images. We will be launching an image editor for editing text later this year.


Scenario 3: I want to duplicate local content from other countries into my local account

  • From the Email builder overview, click the “ShamanHub” tab.

  • After arriving at your hub page, search for local content by selecting Source - Local. You can also check additional filter boxes such as brand, original language, type and country.

  • Once you have found the content you are looking for, click anywhere in the email summary details of the content to select it.

  • From the preview and duplicate page, complete the local details of the email template and click “Duplicate”.

  • That´s it! You have now duplicated the email content to your local account. You can complete the email details, work on the design or test and export the content from Shaman.


Scenario 4: I want to duplicate and translate content prepared originally in another language

  • From the Email builder overview, click the “ShamanHub” tab.

  • After arriving at your hub page, search for content in English by selecting the search filters available, such as brand, original language, type and country.

  • Once you have found the content you are looking for, click anywhere in the email summary details of the content to select it.

  • From the preview and duplicate page, complete the local details of the email template (importantly here: select the language you wish to use to translate the email content).

  • Click “Duplicate”

  • That´s it! You have now copied the email content to your local account. You can complete the email details, work on the design or test and export the content from Shaman.

Good to know!

Even if the content you are searching for is in another language, Shaman will use ML Translation to find the words in English, before translating them into your preferred language.


Scenario 5: I want to update or delete existing content that I have published to Shaman Hub

  • Select the "Export" tab into your email template, email fragment or template fragment.

  • At the top of your export options, you will see two options to either "Update document" or "Remove document". Select the relevant option, depending on whether you wish to update or remove the content.

  • Then, click "Export to Vault" to finalise these changes.


FAQs

  • Will the content I create be automatically shared in Shaman Hub?

While we advise all users to share content to Shaman Hub, it is each user’s decision whether to share the content to Shaman Hub (based on Brands, Countries or Therapeutic Areas) or not. The option is available in the Export step and it is applicable only for the content exported to Veeva Vault.

  • How can I use content prepared originally in another language?

Content will be available in Shaman Hub in the original language, but it will be searchable in English, based on the ML translation and summary.

Once you identify the content you want to use, you can duplicate and translate into your preferred language.

  • Can I share with a colleague an email template/ fragment I find in Shaman Hub?

There is no sharing option in Shaman, but you can copy and share the link from the browser address bar, while you are on the filtering page or you have a specific email template/ fragment open. The link will display the intended content only if your colleague is already logged into the same account group.

  • Can I sort content by number of likes/ duplications?

This functionality is not available at the moment.

  • Can I identify which users/ countries have duplicated the content I shared in Shaman Hub?

This functionality is not available at the moment.

  • Is the expired content still available in Shaman Hub?

Content is available in Shaman Hub as long as it is still valid/ not expired. Once an email template/ fragment expires, it will no longer be displayed in Shaman Hub.

  • For email templates with email fragments, can I identify in Shaman Hub the email fragment(s) originally related to the email template? Or for an email fragment to check where it is used?

In Shaman Hub, each piece of content is considered as stand alone. It is not possible to identify the email fragment(s) related to a specific email template. Also, it is not possible to identify the email templates in which a specific email fragment is used.

  • For an email template/ fragment with related document(s), after the email template/ fragment is duplicated from Shaman Hub, will the related document(s) still be displayed on click?

The original related documents are available in Veeva Vault in line with the MLR details (Brand, Country, Expiry date). Once an email template/ fragment has been duplicated from Shaman Hub to a specific account, the related documents need to be approved and re-created at local level.
