What is a link to “Launch an approved email”

A link to “Launch an approved email” allows your field force to launch an approved email template directly from a presentation during a meeting. Even email fragments can be defined to be included in the email template. It offers the field force a seamless and easy way to discuss and send personalized email content.

Some great use cases or examples for an email link would be:

  • Email link to Product Information/ Important Safety Information (PI page)

  • Email link to Study / Article content (Study page, reference page)

  • Email link to a webinar invite

  • Email link to a type of request form

Good to know!

To add a link to “launch an approved email” to your presentation, the email template and fragments you wish to use need to be Approved for Distribution in Veeva Vault or OnCore Vault.

How to add a link to “Launch an approved email”

Adding a link to “Launch an approved email” is easy. Select the slide you wish to add the link to “Launch an approved email” from the overview of your presentation.

Once you are viewing the slide, click “Add interaction” and then “Launch an approved email” from the menu on the left hand side.

Draw a clickable area around a text or an image:

Click on the point on the slide where you want to add your link. Whilst continuing to click your mouse button, draw the clickable area of the link over your chosen text, image or other call to action. Once you are happy with the link, you can release your mouse button.

Now click the edit button. You will be asked to enter the Veeva Document ID of the Email Template. If you are not sure how to find your Veeva ID, you can click here.

You can include Veeva Email fragments in the email template. To do so, you need to activate the toggle ‘Populate Email Fragments’. You can then add the Document IDs of the email fragments you wish to add to the email template.

Press the enter or return key on your keyboard after you add the Veeva ID. You will notice the number changes to be within a box or tab. This means that you can now add another email fragment if you wish.

As mentioned, you can add as many email fragments as you wish.

Click ‘Done’ to save the changes and return back to the slide in the presentation.

Good to know!

An email link will not show in Preview mode in Shaman, nor in the PDF or interactive export.

To test if the link is working, you need to do so from your test environment / CRM Sandbox. Click on the area where you have drawn your email link in CRM Sandbox, and you should see a pop-up window asking you to select the User account from your CRM to send the email to. You can determine the fragments, and click send!
